Children and Teen Privacy Notice

Release 1 notice for students under 18 and their families

This Notice supplements the KaraOrchee Privacy Policy and explains how KaraOrchee, Inc. handles information involving students under 18. Release 1 allows students ages 13 through 17 only after separate guardian approval. Children under 13 may not create an account or use Release 1, and lessons that include anyone under 13 may not be recorded or uploaded.

Release 1 age rules

Information for students ages 13 through 17

Registration collects an attested age range rather than a birthdate. Age is self-reported and is not verified. A teen applicant provides a guardian's name, separate email address, and relationship. Before approval, the account cannot connect with a teacher, record or upload a lesson, use transcription or AI processing, upload a score, add a profile photo, or share content. Before approval, we hold the student's email address, first name, age range, and accepted document versions; the guardian details the student entered; and email-delivery and security records. An unanswered request expires after 14 days.

The guardian approval record includes the student and guardian identifiers, guardian email, relationship, adult and authority attestations, the approved activities, signature name, IP address and browser information at signing, timestamps, policy and notice versions, and later withdrawal history. One approval covers all listed activities: account activation and teacher connections; lesson recording, upload, transcription, and AI-assisted notes; and private sharing of scores and notes with paired teachers. The approval does not expire.

Information collected after activation

• Account name, email, user identifier, role, age range, authentication and pairing information.
• Lesson audio, transcripts, AI-generated drafts, approved lesson notes, read-aloud audio of notes, annotations, completion actions, and read status.
• Score photos, an optional profile photo, and related upload, sharing, file, and deletion information.
• Device, network, request, security, and operational information necessary to provide and protect the Service.
• Guardian approval, notice, signature, receipt, withdrawal, access, and deletion records.

How teen information is used and disclosed

KaraOrchee uses teen information to provide the selected instructional functions, enforce guardian approval, support private teacher-student pairing, secure and maintain the Service, respond to family requests, and comply with law. Scores a teen uploads are used to provide Vision Notes and related score features. KaraOrchee does not use teen information to train AI models, except content in a problem report submitted through the separate “Help improve KaraOrchee” option, which may be used to diagnose and fix problems and to improve, train, and evaluate KaraOrchee's models. Information may be disclosed to the designated paired teacher or student and to the approving guardian, and to Microsoft (Azure hosting, sign-in, and email; Azure OpenAI Service for draft notes), ElevenLabs (transcription, and read-aloud audio of sent notes), Amazon Web Services (hosting the KaraOrchee-operated Vision Notes score-recognition service), and Apple, solely for the stated service purpose. KaraOrchee does not provide public profiles, public score sharing, advertising, or cross-app tracking in Release 1.

Guardian controls

• Review the notices and choose whether to approve the teen's account and the listed activities.
• Use the management link in the most recent email from us to withdraw approval, disconnect a teacher, or delete the account, or contact privacy@karaorchee.com to request access, a copy, correction, a replacement link, a change of guardian, or deletion. Withdrawing approval ends teacher connections and stops new recording and processing but does not delete information; deletion is a separate choice.
• Receive a receipt showing the approved scopes and versions of the documents accepted.
• Receive an email each time the student connects with a new teacher.
• Receive notice and provide renewed approval before a material expansion of the previously approved collection, use, or disclosure.

Retention

Raw lesson audio is deleted 90 days after upload, and transcript and raw AI-output files 90 days after they are created. Sent notes and private lesson score photos remain until deleted by the account holder or with the account. Temporary Vision Notes recognition files follow the separate periods described in the Privacy Policy. Deleting a student's account deletes the notes linked to that student; recordings made under a teacher's account and their transcripts are not deleted for that reason alone and follow the 90-day schedule or the deletion of the teacher's account. Deleted files may be recoverable by our staff for up to 37 days, and database backups are kept for up to 35 days. Guardian contact details on an unanswered or declined request are erased after 14 days. The Privacy Policy describes the retention of other records.

Under 13 users

Release 1 does not permit an under-13 child to register or use the Service. If KaraOrchee learns that an under-13 child submitted information outside a limited legally permitted purpose, KaraOrchee will disable access and delete the information as required. If a child under 13 is recorded, stop the recording and do not upload it. A family may report an underage account or recording to privacy@karaorchee.com.

Future parent managed child profiles

KaraOrchee may offer parent-managed profiles for children under 13 in a future release. They are not available in Release 1, and we will update this Notice and obtain verifiable parental consent before offering them.
